Keep every agent's real estate license renewed on time
A real estate salesperson license is renewed with the state that issued it, usually with continuing education: every two years in Texas and New York, every four years in California. An agent with an expired license may not perform licensed activities, even where late renewal is allowed.
Real estate salespersons (sales agents) in the United States are licensed by a state real estate commission or department, and each state sets the license term, the renewal window, the continuing education needed and what happens after a late renewal. Brokerages that sponsor agents should track each agent's expiry date, because an agent with an expired license cannot do work that requires a license.
Examples from official state pages: in Texas, a sales agent must renew every two years; TREC sends a renewal notice about 90 days before expiry and renewal is not possible before the notice arrives; 18 hours of approved continuing education are required in each two-year period for an active renewal, with Sales Apprentice Education for the first renewal; late renewal is possible up to six months after expiry (on inactive status), reinstatement from six months to two years, and after two years the agent must reapply and pass the examination. In New York, a salesperson license is good for two years, a sponsoring broker is required to renew, and the Department of State sends an email and postcard reminder three months before expiry. In California, licenses are issued for a four-year period; the DRE emails a reminder about 90 days before expiry, renewal can be submitted 90 days before expiry, an on-time renewal lets the licensee keep operating after the expiry date under Business and Professions Code section 10156.2, and a late renewal is allowed during the two years after expiry but the licensee cannot perform licensed activities until the license is renewed.
The reminder notices are a courtesy: the DRE states that non-receipt does not relieve the licensee of the responsibility to renew. Keep the agent's email and mailing address current with the state and record the expiry date in your own system.

Who is responsible?
The licensee renews with the state and completes the continuing education. The sponsoring broker is responsible for the agents it sponsors (in New York a sponsoring broker is required for renewal; in Texas the broker is responsible for the sponsored agent's compliance), so the brokerage should track each agent's expiry date and education status.
If the deadline passes
An agent with an expired license may not perform activities that require a license, even where the state allows a late renewal (California: two-year late renewal period; Texas: renewal up to six months after expiry on inactive status, reinstatement up to two years). Texas also states that if the first-renewal Sales Apprentice Education is not completed in time, the license expires, because those hours cannot be deferred.
Continuing education deadlines inside the renewal
Education is usually the step that makes renewals late. Texas requires 18 hours of continuing education in each two-year period, including contract-related coursework, and allows an active renewal with the education completed within 60 days after expiry only on payment of a deferral charge; a late renewal cannot defer it. California allows a 90-day extension to furnish continuing education evidence under Business and Professions Code section 10171.2 if the request is mailed before the expiry date. Record the education deadline as its own date so the agent finishes courses before the renewal window closes.
Tracking it with ExpirySuite
- Add each agent and record the license expiry date printed on the license, plus the issuing state so the right term applies (2 years in Texas and New York, 4 years in California).
- Reminders arrive 60, 30, 14, 7 and 1 day before the expiry date and on the day itself, which falls inside the roughly 90-day window in which Texas and California send their notices and accept renewals.
- Add a second record for the continuing education deadline so courses are finished before the renewal is submitted.
- Assign a responsible person (for example the sponsoring broker or office manager) so the right person gets the reminder.
- If a date passes, managers get overdue reminders 3, 7 and 14 days later.
- Ask the agent to upload the renewed license certificate through a secure upload link, valid for 14 days; no account is needed.
