Renew every establishment card on time

ICP fines a renewal delayed more than 30 days after expiry, and the establishment must report any change to its data.
The establishment card is an electronic card issued by the Federal Authority for Identity, Citizenship, Customs and Port Security (ICP). It shows the establishment's registered data, such as trade name, licence number, partners and type of activity. ICP's "Renewal of Establishment Card" service renews the card for government entities, private sector companies and free zone companies.
According to ICP, the renewal is granted only if a valid trade licence is available, and any fines due on the establishment must be paid. The establishment must also notify ICP of any change to its information and update it.
ICP lists a fine for delay in renewing the establishment card for more than 30 days from its expiry date, and a separate fine for changing the establishment's information without notifying ICP.

Keep the trade licence valid first
ICP renews the establishment card only if a valid trade licence is available. Documents that may be needed include the trade licence (for a limited liability company, showing the stakeholders), a signature authorisation letter, the memorandum of association for a partnership, and any requirements of the local government of the emirate. ICP asks for documents only if it cannot retrieve the data through integration.
Tracking it with ExpirySuite
- Add each establishment card with its expiry date, and add the trade licence as a separate document, because renewal needs a valid licence.
- Reminders arrive 60, 30, 14, 7 and 1 day before the expiry date and on the expiry date itself.
- Assign a responsible person (for example your PRO) for each card so the right person gets the reminder.
- If a card passes its expiry date, managers get overdue reminders 3, 7 and 14 days later, before the 30-day point after which ICP lists a late fine.
- Ask for the renewed card through a secure upload link, valid for 14 days; no account is needed.
- Emails arrive in each recipient's language, Arabic included.
